YOUR GAME, YOUR INFORMATION

Privacy Policy

This policy describes the information Who’s Your Caddy uses to run the app, including how optional live location sharing works.

Last updated September 29, 2026

1. Scope and contact

Who’s Your Caddy (“WYC”) is operated by Ubiquity Inc. This policy applies to WYC’s website, app, accounts, rounds, and memberships. For privacy questions or requests, email support@whosyourcaddy.net.

2. Information we use

  • Account and profile: sign-in identifiers, email address, display name, player name, optional profile photo, home course, bio, profile visibility, and account preferences.
  • Golf activity: courses, tee selections, rounds, scores, statistics, handicap ID and index you enter, optional uploaded handicap card image, side games, friend requests, event participation, messages, and shared-round activity. An uploaded card is stored privately and is not proof of a live connection to its issuer.
  • Location and course context: precise device location when you permit GPS features, selected map targets, hole and course coordinates, and approximate location used for weather or course scenery.
  • Billing and access: plan, subscription and transaction identifiers, payment status, grants, and support history. Stripe handles payment details such as card numbers.
  • Technical data: device and browser information, session data, preferences stored on your device, and operational logs needed to keep the service working and secure. If you enable push alerts, we also store the browser-provided subscription endpoint and encryption keys needed to deliver them.

Some information comes from you, some from your device when you use a feature, and some from service providers such as identity and payment processors.

3. How we use it

We use this information to sign you in, show the right membership features, calculate golf distances and scores, run shared rounds and events, provide weather and course context, process payments, respond to support requests, protect the service, and improve reliability. We may use account contact information to send important service or billing messages.

4. GPS and live sharing

On-course GPS requires your device’s location permission. You can deny or withdraw that permission in your device or browser settings, although GPS-dependent features will then be limited. Using GPS to calculate your own distances is different from sharing your position with other golfers.

Live group location sharing is off until you turn it on for an active shared round. While it is on, current positions may be shown to golfers in that round, people who have its view-only follow link, and accepted friends if the host chooses to alert friends about the round. Turning sharing off stops new updates. A position stops appearing on the live map after roughly two minutes without an update; that display timeout is not a promise that every underlying record is deleted at that moment. Be careful who receives a follow link.

5. When others can see information

Your profile visibility choice controls how your profile is presented. Playing partners, hosts, league and tournament organizers, and other permitted participants may see information needed for the rounds or events you join, such as your name, scores, standings, and messages. A shared link can give its recipient a view-only live round view. Public leaderboards or profiles, when enabled, may be visible more broadly.

We share information with providers needed to deliver the service, including Clerk for sign-in, Stripe for payments, and providers for plan and license administration, hosting, maps, course data and weather. We may also disclose information when required by law or to protect rights and safety. We do not ask service providers to use your live course location for their own advertising.

6. Cookies, device preferences, and alerts

Sign-in uses session cookies and related technology. WYC also stores choices such as appearance, text size, and course background on your device. Blocking essential session technology may prevent sign-in or other app functions.

Push alerts are optional and require your device’s permission. If enabled, a browser or operating-system push service receives an encrypted notification for friend requests, match updates, or shared-round starts. You can turn alerts off in WYC on each device or change notification permission in device settings.

7. Retention and protection

We keep information for as long as reasonably needed to provide your account, preserve requested round and event records, meet legal or accounting requirements, handle disputes, and protect the service. Different records may have different retention periods. We use administrative and technical safeguards appropriate to the information, but no online service can promise absolute security.

8. Your choices and requests

You can edit many profile details in the app, change profile visibility, stop live sharing, and control device location permission. You can request access to, correction of, or deletion of your information by emailing support@whosyourcaddy.net. We will review requests under applicable law and may need to verify your identity or retain limited information for legal or operational reasons.

9. Children and changes

WYC is not directed to children under 13. If you believe a child under 13 has provided personal information, please contact us so we can review it. We may update this policy as WYC changes; the current version and its date will be posted here, with additional notice when required.
